2. Data we process

Providing data is voluntary. However, if you do not provide required fields (for example your email address), we cannot respond to your enquiry or coordinate a consultation.

Contact data: name, email, phone (if provided), company
Communication data: messages submitted via forms or email
Scheduling data: appointment details if you book a call
Technical data: IP address, browser info, timestamps
Marketing and attribution data (only with consent): UTMs, click IDs, cookie identifiers

Please do not submit special categories of personal data (for example health data) through our forms.

3. Purposes and legal bases

Enquiries and free consultations: We process your data to respond to your request, provide a free initial consultation if requested, and take steps prior to entering into a potential contractual relationship. Legal basis: Article 6(1)(b) GDPR.

Operational and administrative communication: We may process limited data for internal administration, record keeping, preventing abuse, and handling follow-up communication directly related to your request. Legal basis: Article 6(1)(f) GDPR (legitimate interests in operating and securing our business communications).

Marketing emails (only with consent): If you opt in, we send insights and updates by email. Double Opt-In is used, marketing starts only after you confirm. Legal basis: Article 6(1)(a) GDPR (consent).

Analytics and advertising (only with consent): If you opt in, we measure performance and improve campaigns using analytics and advertising technologies. Legal basis: Article 6(1)(a) GDPR (consent).

4. Cookies and consent (Germany)

We use Usercentrics Consent Management Platform as our central consent service provider to manage cookies and similar technologies.

Non-essential cookies and tracking technologies are blocked by default and activated only after opt-in consent. You can grant, refuse, or withdraw consent at any time using the privacy settings link on our website.

Vendor information, purposes, and consent categories are disclosed in the Usercentrics interface. Tracking tags (for example Meta, LinkedIn, Google) load only after the relevant consent.

Calendly is loaded only after user action or consent, depending on configuration.

We self-host fonts used on this website, so no font files are fetched from third-party font CDNs during page load.

If we use a tag management system (for example Google Tag Manager), it is used for tag deployment, and the tags it manages are configured to respect your consent choices.

7. Retention

Double Opt-In not confirmed: deleted after 30 days
Non-client leads: retained until end of year + 3 years after last interaction, then anonymized
Marketing subscribers: retained until unsubscribe or withdrawal
Unsubscribed: minimal suppression record retained to prevent re-contact
Consent proof logs: retained until end of year + 3 years after withdrawal or last marketing email

8. Your rights

You can request access, correction, deletion, restriction, portability, objection (where processing is based on legitimate interests), and withdrawal of consent by emailing hello@usaindiacfo.com. You may also lodge a complaint with a supervisory authority.

We normally respond within 3 to 7 days, and in any case no later than one month, as required by GDPR.

9. Unsubscribe and withdrawal

You can withdraw consent at any time. Each marketing email includes an unsubscribe link. Withdrawal does not affect processing before withdrawal.

10. Automated decision-making and profiling

We do not carry out automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you within the meaning of Article 22 GDPR.

If you consent to marketing cookies, our advertising partners may use online identifiers (for example cookie IDs) to measure and optimize advertising campaigns, which may involve profiling for advertising purposes. You can withdraw consent at any time via the privacy settings link.
